Reports to: Executive Director Location: Yad Ezra Office – Berkley, MI Schedule: Monday–Thursday, 9:00 AM – 3:00 PM (24 hours/week) Compensation: Commensurate with experience Employment Type: Part-time
Position Overview
The Administrative Assistant serves as the operational backbone of Yad Ezra's day-to-day functions, ensuring the smooth execution of critical administrative and logistical activities. This role is essential in supporting our mission by enabling staff across all departments to focus on their core responsibilities. The ideal candidate is organized, resourceful, detail-oriented, and enjoys managing both front-line interactions and behind-the-scenes systems that keep the organization running efficiently.
Key Responsibilities
Office & Front Desk Management
- Manage phone system, respond to general inquiries, and direct calls appropriately
- Greet and assist visitors, volunteers, and vendors at the front and delivery doors
- Coordinate incoming and outgoing mail, including sorting and distribution
Donor Support & Database Management
- Accurately enter and process donations, tributes, and pledges received online, by phone, and by mail
- Prepare and send timely donor acknowledgment letters
- Support data entry and upkeep of donor records using the Bloomerang CRM system
Administrative & Operational Tasks
- Order and maintain inventory of office and kitchen supplies
- Restock volunteer snack areas and maintain tidiness in shared spaces
- Schedule meetings, manage the shared office calendar, and coordinate logistics for internal meetings, including ordering food and setting up conference rooms
Event & Program Support
- Provide administrative support for Yad Ezra’s annual Garden Soiree and three major holiday food distribution events
- Assist in event preparation tasks and logistics as needed
Executive Support (Occasional)
- Provide light executive assistance support including scheduling, document preparation, and other administrative tasks as requested by leadership
Required Qualifications
- Strong organizational and multitasking skills
- Excellent verbal and written communication abilities
- High attention to detail and accuracy in data entry and document handling
- Professional and friendly demeanor with a commitment to providing excellent internal and external customer service
- Comfortable learning and using software platforms, particularly CRM systems (experience with Bloomerang a plus)
- Ability to take initiative and adapt to evolving organizational needs
