POSITION OVERVIEW
The Board Engagement & Communications Assistant plays a key stewardship role in supporting the Foundation’s board, governance, communications, and convenings. Reporting to the Board Engagement & Communications Officer, this position helps ensure the Foundation’s materials, gatherings, and external presence consistently reflect the quality, thoughtfulness, and integrity that characterize our work and mission. Working in close partnership with program, operations, and the broader administrative team, the Board Engagement & Communications Assistant brings strong coordination skills, excellent attention to detail, and reliable follow-through, and thrives in a collaborative environment.
This position is an in-office position in Bloomfield Hills, MI.
PRINCIPAL RESPONSIBILITIES
Duties and responsibilities include, but are not limited to;
Board and Governance Support
- Serve as a primary administrative point of contact for the Board of Directors, exercising discretion and maintaining confidentiality in all interactions with Directors and their personal offices.
- Coordinate all Board and committee meetings, including scheduling, logistics, and preparation of agendas and materials.
- Manage the production and distribution of Board and committee books, including timelines, content collection, formatting, version control, and archival maintenance.
- Support preparation and circulation of Board communications, briefings, and updates in collaboration with Foundation leadership.
- Arrange and support Director travel related to Foundation business, including itineraries, meeting agendas, briefing materials, and expense reporting.
- Liaise with Directors’ personal offices to ensure compliance with Foundation travel, expense, and accounting policies.
- Schedule and coordinate Foundation‑related meetings for Directors held at Foundation offices.
- Foundation Communications
- Support routine website content updates and maintenance.
- Draft and edit content for the Foundation’s social media platforms, external newsletters, and other public-facing communications.
- Maintain organized digital archives of news coverage, announcements, publications, and communications assets (photos, videos, and related materials).
Foundation Convenings & Coordination
- Maintain the Foundation’s calendar of Board activities, Foundation-hosted and sponsored gatherings, and key grantee and partner events and announcements.
- Support planning and execution of Foundation-hosted gatherings involving Board members, ensuring consistent and high-quality experiences.
- Serve as a liaison to program staff for other Foundation-sponsored events, ensuring a consistent look and feel in sponsorship ads, invitations, materials, and event communications.
Salesforce & Relationship Data Stewardship
- Support accurate and timely entry, tagging, and maintenance of event-related and relationship data in the Foundation’s Salesforce CRM system, following established data standards and naming conventions.
- Reinforce data governance practices with program and operations staff to ensure data quality, accuracy, and compliance.
Administrative Team Collaboration
- Actively participate in weekly Administrative Team meetings to review the Foundation calendars, priorities, and upcoming activities.
- Provide detailed meeting support information to Office Management for internal meetings and gatherings.
PROFESSIONAL EXPERIENCE & REQUIREMENTS
- Bachelor’s degree required, preferably in communications, marketing, public relations, business administration, or a related field.
- Minimum of 2–3 years of experience in communications, events management, executive or board support, or related field.
- Strong interest and passion for the Foundation’s mission and honoring Mr. Davidson’s memory, and strong alignment with our organizational values.
- Experience working with the Jewish community is preferred.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with project management or collaboration tools.
- Hands-on experience with CRM systems (Salesforce preferred), website content management, and social media platforms.
- Excellent writing, editing, and verbal communication skills for both internal and external audiences.
- Strong organizational and time management skills with attention to detail and ability to manage multiple priorities.
- Professional presence with integrity, discretion, and sound judgment; ability to represent the Foundation with diplomacy in all settings.
- Collaborative and adaptable team player with strong interpersonal skills and a positive attitude toward feedback and continuous improvement.
RELATIONSHIPS
- Reports to the Board Engagement & Communications Officer.
- Works with the Foundation’s Board of Directors and their personal offices.
- Collaborates with program staff in support of external communications and events.
- Works closely with the Office Management and Administrative teams.
- Collaborates with external vendors and partners.
