POSITION SUMMARY: The Community Operations Manager supports the needs of the Community Property & Maintenance program as well as the operations of the Jewish Federation of Cincinnati and partner agencies by providing administrative and technical support in the areas of: project management, funding grant proposal preparation and review, property site visits, emergency repair resource advising, new property development, large construction projects and organizational and community operations support. Works primarily with Director of Community Property & Maintenance, CP&M volunteer committee, SAFE Cincinnati team, Risk and Insurance Manager, JFC Finance team, the Jewish Foundation team, Jewish Community partner agencies and congregations, and the COO at the Jewish Federation of Cincinnati. ESSENTIAL FUNCTIONS INCLUDE: Project Management: - Provide leadership for the overall direction, coordination, implementation, execution, control and completion of specific projects ensuring consistency with organizational strategy, commitments and goals
- May manage the project budget
- Develop project plans resource allocation, and timeline
- Manage the day-to-day operational aspects of a project and scope
- May direct assigned project team ensuring effective utilization of resources
- Reports on progress of the project to all stakeholders
- Provides detailed organizational communication plans when clinical operations are impacted
Cross-Departmental Collaboration, Operation Execution - Support business operational functions that cross multiple areas, troubleshooting and finding solutions for process improvements
- Support upcoming software implementation changes
- Maintain high standards for data hygiene, reporting, and analytics to support decision-making across departments
Site Visits: - Review maintenance records, current maintenance contracts and contractors
- Walk through property both inside and out, identifying and prioritizing any issues requiring immediate or future attention (life safety, structure, etc)
- Utilize mechanical, roofing and other experts to ascertain general conditions as necessary
- Meet with Jewish Federation or Jewish Foundation Building Committee to review property assessments (especially to define immediate and longer term capital improvement)
- Develop a plan to address issues with Boards/House Committees of organizations
- If repair work is complex, provide supervision to assure proper completion
- Work with Jewish Federation and Jewish Foundation Building Committee and organizations to establish yearly repair budgets and replacement schedules
- Assist Federation / Foundation Building Committee and organizations in obtaining proper ongoing community-wide, maintenance contracts to reduce costs
- Regular (Annual, Semi-Annual, Monthly, etc.) property visits, meeting with agency executives, house committee, and/or maintenance staff
- Prepare detailed site visit reports summarizing general discussion, maintenance findings, and providing photos
Serve as Emergency Repair Resource Advisor: - Be available to help trouble shoot building related issues
- Engage and meet with professionals to evaluate issue if needed
- Engage and meet with contractors to obtain bids for needed repairs
- Meet with Jewish Federation or Jewish Foundation Building Committee to review repair cost and needs
- Oversee repairs as needed to be sure work is completed properly
Serve as New Property Development Advisor: - Provide due diligence as needed
- Provide budget numbers for needed or wish list renovations
- Meet with Jewish Federation or Jewish Foundation Building Committee to review cost and needs
- Bid out and engage contractors as needed for general day to day property upkeep and renovations
Large Construction Projects: - Provide a watchful eye as project progresses through design to construction reporting to funding source
POSITION QUALIFICATIONS: - Bachelor’s degree in engineering/architecture/construction management/operations or related field preferred but not required
- Project management experience preferred but not required
- Must be proficient in Microsoft Office, especially Microsoft Excel, Word, and PowerPoint
- Experience working with a database preferred
- Excellent written and oral communication skills
- Excellent organizational skills and attention to detail
- Self-starter with a solutions-oriented approach.
- Ability to work independently and with a team in a fast paced and high-volume environment with emphasis on accuracy and timeliness
- Ability to provide exceptional customer service when dealing with clients or vendors
