Honeymoon Israel is seeking a full-time professional for the role of Operations Coordinator (OC) to play a critical role for HMI as it grows its operations and impact. The role is responsible for day-to-day operations related to trips and general operations. The OC is an integral member of the Operations Team and will work closely with the Program Team. This position reports to the Director of Operational Systems.

Key Responsibilities

Trip Vendor Liaison Support:
  • Provide and ensure accuracy of participant registration information with trip vendors (airline provider and tour provider)
  • Monitor and audit registration reports ensuring travel requirements for all passengers are met (visas, passports, etc.)
  • Coordinate and communicate details (including phone calls, SMS communication, etc.) to travel vendors in preparation of trips (special requests, special accommodations, call scheduling, etc.)
Trip Support:
  • Respond to participants’ requests and inquiries via email, text, and phone
  • Coordinate outreach regarding registration requirements to participants
  • Schedule pre-trip communication and implement trip portal updates
  • Provide logistical support for pre-trip events as needed
  • Generate new and existing reports to support trip-related needs
  • Update database by entering data in Salesforce and cleaning up data as needed (generate reports, database management)
  • Potential to conduct in-person and online interviews for couples applying to program
General Operations:
  • Schedule, send, and respond to bulk and individual text messages (Mogli platform within Salesforce)
  • Update participant data in Salesforce regularly
  • Coordinate and execute requests, reports, and emails with partner city organizations
  • Support application experience team by coordinating report requests, trip invitations, and interview logistics
  • Pull reports in Salesforce
  • Other duties as assigned related to HMI and partner organizations.

Key Qualifications and Position Details

Key Qualifications:
  • Bachelor’s degree preferred
  • Minimum 2-3 years of experience in an operational or administrative role
  • Exceptional attention to detail
  • Proficient in Slack, Gsuite, Microsoft Excel, Salesforce; FormAssembly a plus
  • Outstanding interpersonal and written communication
  • Working knowledge of the travel industry and Israel travel
  • Ability to juggle multiple projects simultaneously
  • Ability to maintain and manage vendor relationships
  • Willingness to learn
POSITION DETAILS
  • This position will report directly to the Director of Operational Systems
  • This position is remote. Candidates must reside in the US, preferably an HMI Hub City (i.e. Atlanta, Boston, Chicago, Denver, Los Angeles, New York, San Francisco, Washington DC)
  • This position is required to travel (domestic) up to 15% of the time. This includes staff retreats and in-person trainings.
