GENERAL JOB DESCRIPTION

The Program Support Specialist will provide general program support for various workforce initiatives. This position will assist with general program services, including document verification, determining eligibility, data entry and report preparation, and identifying and executing outreach strategies. This position ensures the accuracy, completeness, and compliance of participant records and program documentation, supports the distribution and tracking of supportive services and training supports, and provides administrative and data support for special projects.

QUALIFICATIONS

Education: Bachelor’s degree in human services, social work, education, human resources, business, or related field required.

Other: One to two years of experience engaging disadvantaged individuals in career, education, or personal/family development. Knowledge of Metro Detroit human service agencies and services a plus. Ability to work well in a team environment, handle multiple assignments, and meet deadlines. Strong written communication skills with the ability to write clear, structured, and articulate communications. Attention to detail and strong technology and data entry skills, including MS Office.

DUTIES AND RESPONSIBILITIES

  • Conduct routine audits of participant records and program documentation to verify accuracy, completeness, and compliance with funding source requirements.
  • Assist in completion and verification of customer eligibility documentation and program paperwork to confirm proper determination and enrollment in accordance with applicable guidelines.
  • Enter, maintain and monitor participant data and performance entered in OSMIS and other workforce data systems, identifying and correcting errors or inconsistencies to ensure data integrity.
  • Serve as a quality control checkpoint for data inputs across program areas, flagging discrepancies and working with career coaches and program staff to resolve them.
  • Prepare data quality reports and fulfill data requests for management that surface trends in program and participant performance.
  • Coordinate with career planners, partner organizations, and customers as needed to obtain missing documentation, resolve data gaps, and confirm status of barrier and referral resolution.
  • Monitor the allocation and distribution of supportive services and training supports, ensuring funds are appropriately authorized, tracked, and documented in accordance with program guidelines.
  • Provide support for special projects, including data verification, reconciliation, reporting, administrative tracking, and other tasks, as assigned.
  • Provide orientation to available services and resources as a secondary function in support of customer-facing staff.
  • Other duties as assigned.

WORKING CONDITIONS

Environmental Conditions:

  • Moderate noise (i.e., business office with computers, phone, and printers, light traffic).
  • Ability to work in a confined area.
  • Ability to sit at a computer terminal for an extended period.

Physical Requirements:

  • While performing the duties of this job, the employee is regularly required to stand, sit, talk, hear, and use hands and fingers to operate a computer and telephone keyboard, reach, stoop, and kneel to install computer equipment.
  • Specific vision abilities required by this job include close vision requirements due to computer work.
  • Light to moderate lifting is required.
