GENERAL JOB DESCRIPTION

Working as an integral member of the Accounting Department, the Accounts Receivable Accountant ensures accurate and timely billing of revenue and collection of receivables. Reports to the Accounting Supervisor and works closely with the Controller and CFO, contributing to the integrity of financial reporting by ensuring accurate and timely reporting of revenues. Communicates with Agency Management regarding changes to revenue contracts and collection of outstanding billings.

QUALIFICATIONS

Required:

  • Bachelor’s degree in accounting or related field.

Other:

  • Five to seven years related experience in accounting or combination of education and work experience.
  • Reasoning, math and language skills as measured by Agency norm tests with numerical aptitude and detail-oriented characteristics.
  • Demonstrated proficiency with Microsoft Excel.
  • Experience with an Automated Accounts Receivable System preferred.

DUTIES AND RESPONSIBILITIES

  • Prepare invoices for assigned non-program accounts receivable utilizing computerized accounting system.
  • Prepare monthly accounts receivable journals and aging reports.
  • Prepare entries as needed for accounts receivable.
  • Perform collections of all non-program accounts receivable and advise management when accounts need to be sent to collections.
  • Analyze revenue and accrue monthly unbilled revenue for assigned programs.
  • Perform monthly bank reconciliations and assigned account analysis schedules.
  • Reconciliation of revenue and expenses, monthly billing, and collections for all agency leased spaces, as assigned.
  • Examine and analyze income and expenditures for enclave programs. Report results to management monthly, as assigned.
  • Reconcile, code and import credit card activity, as assigned.
  • Reconcile, code and import utility payments, as assigned.
  • Post daily cash receipts and accounts receivable direct deposits and non-program revenue to computerized accounting system.
  • Assist in budget preparation.
  • Assist auditors by preparing monthly audit schedules and reconciliations as assigned.
  • File accounts receivable documents within two weeks of availability.
  • Document procedures for critical functions.
  • Serve on Agency committee(s) as appointed.

Supplemental Duties:

  • Ensure security of all accounting records and payroll data to maintain confidentiality.
  • Prepare and scan accounting records for permanent storage.

WORKING CONDITIONS

Environmental conditions:

  • Moderate noise (i.e., business office with computers, phone, and printers, light traffic).
  • Ability to work in a confined area.
  • Ability to sit at a computer terminal for an extended period.

Physical requirements:

  • While performing the duties of this job, the employee is regularly required to, stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone keyboard, reach, stoop, kneel to install computer equipment.
  • Specific vision abilities required by this job include close vision requirements due to computer work.
  • Light to moderate lifting in required.
